The manager needs a certificate on a specific car for last season, and in the folders there are scans with the same names. An assistant on the company's server can prepare a selection of sources. To do this, the documents are first associated with the machine and the repair event, so that a similar description of the work does not replace the exact match.
Link the document to the machine and work
Determine the stable machine identifier and keep the previous designations if the registration number or internal code has changed in the documents. The model name does not distinguish two identical cars. The search result should show which identifier is found for each act and where it is seen in the source.
A single folder may contain a repair request, order-outfit, act, and corrected version. These documents are associated with one event, keeping their own numbers and statuses. The found application does not yet confirm that the work listed in it was performed and accepted.
The date of the document and the date of work solve different tasks
For the question “what was repaired in May?” you need the date of work or the accepted period, not the time of scanning the file. For the search for the act issued in May, the condition will be different. The unknown date should be left unknown and the source of the assumption should be shown if the employee suggests clarifying it.
PostgreSQL distinguishes between date and time stamp, and ambiguous date records may depend on the interpretation mode. In the application, you should save the source line and a separately confirmed value. For example, the date from the imported table should not change the place of the day and the month.
What the verifiable answer should look like
The selection needs a machine, the number of the act, the date of work, the status of the document and a link to the source page. A brief resume plays a supporting role: the employee must open the document and check the desired line. If a suitable act is not found, the assistant reports it instead of the conclusion “no repairs were made”.
To accept, prepare two identical models of machines, a corrected act, a document without a work date and several files of the same name. Check that the system does not combine different machines and does not issue the canceled edition as valid. Separately assess which documents were left without connection with the object and require manual processing.
